Terms and Conditions of the Baltic Dual Use Hackathon

A. About the Event

As part of the Event, Activities of various types are organized, including the 48-hour Hackathon, Workshops and other programme items described in the Event agenda on the Website. Activities may be held in an on-site, online or hybrid format (in Gdańsk, at the Venue, and/or remotely in real time), and participation in them is free of charge.

1. Detailed information concerning the Event, including in particular: the list and format of the Activities, date, time frame, place (name and address of the Venue in the case of an on-site format), technical requirements (for online and/or on-site formats), agenda, terms and amount of the Registration Deposit, description of panels, and a link to the registration form in the Evenea system, shall in each case be published by the Main Organizer on the Website.
2. The scope of rights resulting from the purchase of a given ticket, including information on which Activities and in which format (on-site or online) the ticket grants access to, shall in each case be specified in the ticket offer description available on the Website.
3. Only adults may participate in the Event.
4. The Participant takes part in the Event at their own risk.
5. The Main Organizer does not provide Participants with personal accident insurance, third-party liability insurance or insurance for electronic equipment. Obtaining appropriate insurance shall remain the responsibility and at the expense of the Participant, should the Participant deem it appropriate.
6. The Main Organizer shall not be liable for the loss, destruction, damage or theft of equipment or other personal belongings brought by Participants onto the Event premises.
7. The information referred to in Clauses 24 and 25 of these Terms and Conditions, available on the Website at the time the Participant submits the Application, shall be binding upon the parties to the Agreement concluded between the Main Organizer and the Participant and shall form an integral part thereof. The Main Organizer reserves the right to make minor changes to the Event agenda for logistical or technical reasons, provided that the substantive standard of the Event is maintained. Participants shall be promptly informed of any material changes (e.g. a change of date or Venue) by e-mail sent to the address provided in the Application.
8. On-site Activities held as part of the Event shall take place at the Venue. A detailed map of the event area and a list of rooms in which individual panels are held form an integral part of the information about the Event and are publicly available on the Website.
9. The Participant shall comply with the rules of the Venue available on the Venue website at: bg.ug.edu.pl/o-bibliotece/o-nas/regulaminy-i-zarzadzenia.
10. No later than 3 business days before the start of the Event, the Participant shall receive from the Main Organizer an e-mail, sent to the address provided in the Application, containing details of the Event. In the case of Workshops, the Participant shall install the software recommended in the instructions and review any training materials provided.
11. If the Participant does not receive the message from the Main Organizer, the Participant shall notify the Main Organizer by sending an e-mail to kontakt@codeme.pl.

B. Registration for the Event and Registration Deposit

1. Participation in the Event is free of charge. The Main Organizer does not collect from Participants any remuneration or fee for the possibility of participating in the Event.
2. Participant Registration is required for all Activities.
3. The number of places for individual Activities is limited. In view of the above, and in order to reduce the number of unused Reservations, the Main Organizer applies a Registration Deposit.
4. Registration and payment of the Registration Deposit shall be carried out via the Evenea service, in accordance with the option selected when completing the Application and the instructions sent in the message confirming Registration for the selected Activity within the Event.
5. Places shall be allocated in the order in which Registrations are properly completed in the Evenea service. A properly completed Registration process, within the available capacity, confirmed by the generation and delivery of a ticket to the e-mail address indicated in the Application, shall constitute a Reservation of a place for the selected Activity within the Event.
6. Registration shall be cancelled by the Evenea service if the Registration Deposit is not paid by the Participant within 3 calendar days from the date of Registration for the selected Activity within the Event. In such a case, a new Registration must be made.
7. In every case, the Main Organizer shall refund to the Participant the Registration Deposit paid in full, no later than within 7 business days from the original date on which the Event was scheduled to end, using the same payment method as the one used by the Participant when registering in the Evenea service. The Participant shall bear no costs or deductions in connection with such refund.
8. The refund rules set out in Clause 41 of these Terms and Conditions shall also apply to Participants who made a Reservation and paid the Registration Deposit before the publication of this version of these Terms and Conditions. This change does not restrict any rights already acquired by such Participants, but grants them the right to a full refund of the Registration Deposit paid.

C. Breach of the Terms and Conditions and Damage

1. The Participant shall bear full civil and financial liability for any damage, destruction or impairment of property belonging to the Main Organizer, the Co-organizers, the owner of the Venue, or another Participant or Participants, caused through the fault of the Participant (whether intentional or unintentional) during the Event, in particular as a result of running source code, software or a Project created by the Participant.
2. Where the Participant's Application was submitted by a third party (e.g. an employer or a company ordering a B2B ticket), such third party shall be jointly and severally liable with the Participant for damage caused by the Participant on the Event premises.
3. If damage is caused, the Participant (or the entity referred to in Clause 44 of these Terms and Conditions) shall cover the full cost of repairing the damaged property or restoring it to its previous condition, and if repair is impossible - the cost of purchasing new property with the same or similar technical parameters.
4. Compensation for damage shall be based on a damage report drawn up at the Event venue by the injured party (the Main Organizer, the Co-organizers, another Participant or Participants, or the owner of the Venue). Where possible, the report shall be drawn up in the presence of the Participant who caused the damage. Refusal by the Participant who caused the damage to participate in drawing up the report, or the Participant's absence, shall not prevent the injured party and witnesses from drawing up the report unilaterally. The final value of the damage and the cost of remedying it shall be determined on the basis of a valuation or invoice presented by the injured party.
5. The Main Organizer reserves the right to refuse admission to the Event or remove from the Event premises a Participant who grossly or persistently violates public order, safety rules or the provisions of these Terms and Conditions (in particular, a Participant who is under the influence of alcohol or intoxicating substances, behaves aggressively, disrupts speakers' presentations or damages Venue property).
6. A decision to remove a Participant shall be made by the Main Organizer or security services authorized by the Main Organizer after a prior unsuccessful request that the Participant cease the violations, unless the situation requires immediate action for safety reasons.

A. About the Hackathon

The Event is addressed in particular to persons from innovative companies and startups operating in areas related to the purpose of the Event. The purpose of the Event is to respond to three forces shaping contemporary challenges: the need to build technological sovereignty in a changing geopolitical order, the protection of Baltic infrastructure, and the development of dual-use innovation. It is a space for joint action for the security and technological sovereignty of the future.

1. The Hackathon, which is one of the Activities within the Event, is a competition in the field of science and technology focused on development work and the practical application of scientific and technological knowledge in the areas of artificial intelligence (AI), space technologies, robotics, quantum technologies and microelectronics. It is intended to build technological sovereignty and transform global challenges into solutions.
2. All Projects implemented as part of the Event must be consistent with the objectives specified in Clause 50 of these Terms and Conditions and must implement the assumptions of the thematic tracks described on the Website. A Participant may select more than one track when creating a Project.
3. The Main Organizer reserves the right to cancel, interrupt or postpone the Event in the event of force majeure preventing the Event from being held safely and lawfully. Force majeure shall mean an external event beyond the control of the Main Organizer, unforeseeable and unavoidable (in particular: natural disasters, epidemics, acts of terrorism, sudden changes in law preventing the organization of gatherings, as well as weather anomalies causing a structural or safety risk at the Event venue, including accumulated snow posing a risk of building collapse or a threat to Participants), hereinafter referred to as "Force Majeure".
4. If the Event is cancelled or postponed due to circumstances constituting Force Majeure within the meaning of these Terms and Conditions, the Main Organizer shall not be liable for any costs incurred by the Participant in connection with the Event, except for the obligation to refund the Registration Deposit paid in accordance with these Terms and Conditions. If it becomes necessary to interrupt the Event while it is in progress due to circumstances constituting Force Majeure within the meaning of these Terms and Conditions (including the sudden occurrence of a threat to the safety of Participants or to the building structure), the Main Organizer shall likewise not be liable for any costs incurred by the Participant in connection with the Event, except for the obligation to refund the Registration Deposit paid in accordance with these Terms and Conditions.
5. The Main Organizer declares, and the Participant acknowledges, that the Event takes place in a Venue managed by a specialized third party, hereinafter referred to as the Owner/Manager of the Venue, which, pursuant to the Act of 7 July 1994 - Construction Law (consolidated text: Journal of Laws of 2026, item 524, as amended), bears full and exclusive responsibility for the technical and structural condition and safety of the building and its surroundings. Accordingly, the Participant acknowledges that in the event of sudden technical failures, structural defects or other construction-related hazards (including dangerous accumulation of snow) preventing the safe conduct of the Event, decisions concerning evacuation or closure of the Venue shall be made by the Owner/Manager of the Venue or the competent services. The situation referred to in the preceding sentence shall constitute a Force Majeure event for the Main Organizer. If it becomes necessary to cancel, interrupt or postpone the Event for such reasons, the liability of the Main Organizer towards the Participant shall be limited to refunding the Registration Deposit paid in accordance with these Terms and Conditions, with liability for any other costs incurred by the Participant excluded.

Ticket Verification and Admission to the Hackathon

1. Before entering the Hackathon, the Participant shall present the ticket downloaded from the Evenea platform, either in digital form (a PDF file displayed on a mobile device) or in physical form (a printout of the PDF file).
2. On the basis of the ticket presented, the Participant shall receive a personalized badge authorizing admission to the Hackathon. The badge shall display the data provided by the Participant in the Application.
3. The Participant shall wear the badge in a visible place throughout the Event and shall present it upon request by the Main Organizer, the Co-organizers or persons designated by them.

Withdrawal from Participation in the Hackathon

1. The Participant has the right to withdraw from participation in the Hackathon. Information about the withdrawal shall be sent promptly to the Main Organizer by e-mail to kontakt@codeme.pl, subject to Clause 130 of these Terms and Conditions.
2. The Main Organizer permits the transfer of a ticket to another person (change of Participant details). In such a case, the Main Organizer must be informed by e-mail sent to kontakt@codeme.pl no later than 24 hours before the start of the Event, stating the current Participant's first name, surname, e-mail address provided in the Application, ticket number, and the first name, surname and e-mail address of the new Participant.

D1. Time Frame and Organization of the Event

1. The Hackathon lasts 48 hours. It begins on Friday, 11 September 2026 at 18:00 and ends on Sunday, 13 September 2026 at 18:00. The Main Organizer also provides for the possibility of organizing additional Workshops preparing Participants for the Hackathon and Workshops during the Hackathon, the dates and subjects of which shall be announced via the Website.
2. The Hackathon shall be conducted in accordance with the schedule published on the Website.
3. The Hackathon consists of elements enabling creative work, competition, use of Mentor support and integration of Participants.
4. The Main Organizer recommends that Participants remain continuously present at the Event venue in order to make full use of Mentor support. Participation in the official opening and mentoring sessions is key to properly understanding the rules and format of the Hackathon and takes place at the Participants' own risk. A necessary condition for a Project to be evaluated by the jury is the presence of at least one Team representative during the final presentations; otherwise, participation in individual elements of the Hackathon is voluntary.
5. The Organizer shall make every effort to ensure that the format and organization of the Hackathon implement accessibility principles and prevent the exclusion of any groups of Participants.

D2. Conditions of Participation and Formation of Teams

1. Participation in the Hackathon is conditional upon each Participant completing an individual Registration process ending with a Reservation. In the case of participation as a group, each Team member must separately complete a Registration ending with a Reservation.
2. Participants may take part in the Hackathon individually or in Teams of up to 5 persons.
3. A Participant may be a member of more than one Team, provided that the Participant does so at their own risk. The inclusion of a Participant in a Team and the continuation of their membership shall be decided by the other members of the Team on the basis of the Participant's actual contribution to the Project.
4. Changing Teams or joining another Team during the Hackathon shall be possible only with the consent of all members of the Teams concerned.

D3. Use of the Platform

1. Each Participant shall receive free access to the Platform for the duration of the Hackathon. The Platform shall be used to organize meetings, Workshops, consultations with Mentors, communication with Trainers and the Main Organizer, and work on Projects.
2. As part of the access referred to in Clause 72 of these Terms and Conditions, each Team shall receive access to communication channels with Mentors and organizers, as well as to a shared space.
3. The Main Organizer shall provide Participants with instructions for using the Platform to the extent necessary for proper participation in the Hackathon.

D4. Technical Requirements and Rules for Creating Projects

1. Projects may be created using any technologies, programming languages, operating systems, platforms, tools and hardware solutions. In particular, Participants may use:
   • code and other materials of their own authorship;
   • publicly available libraries, frameworks, engines, APIs, AI models and tools, and open-source components, in accordance with the terms of the applicable licenses or rules of use;
   • commercial tools, libraries, platforms and other components, provided that they have the right to use them.
2. Participants may use in the Project code, data, graphics, music, models, materials, content generated using AI tools, and other works or solutions originating from third parties (hereinafter referred to as "components"), provided that they hold the appropriate rights, licenses or consents and strictly comply with the terms and rules governing the use of such components.
3. It is prohibited to present a solution created by third parties as the Project, or to mislead the Main Organizer or the jury as to the authorship of the Project or the Team's actual own contribution. A breach of this rule may result in the Team's disqualification.
4. The Team shall prepare the Project in a manner enabling its presentation and evaluation during the Hackathon. If running the Project requires a specific environment, libraries, containers, external services, hardware or other dependencies, the Team must ensure that the Project can be demonstrated and, where possible, provide instructions for launching it.

D5. Categories and Level of Advancement of Projects

1. Participants are entitled to enter the Hackathon with their own solution that was started before the Hackathon, provided that the solution is consistent with the objectives of the Hackathon specified in Clause 50 of these Terms and Conditions. Work performed during the Hackathon should serve to further develop, improve or create an operational Project based on that solution.
2. After the composition of the Team has been determined, Participants shall specify the level of advancement of their Projects by selecting one of the following two categories:
   • "FROM SCRATCH - Started at the Event" - a Project whose actual implementation began during the Hackathon. Prior preparation of organizational and technical elements necessary to begin work is permitted, including in particular: developing an idea or concept, conducting research, preparing a development environment, creating a repository, configuring tools and the Team's working methods, preparing a list of required components and purchasing them in advance, preparing hardware, and testing individual technologies, libraries, devices or components. Performance of the activities referred to in the preceding sentence before the Hackathon shall not constitute grounds for considering that the Project was started before the Hackathon.
   • "NEXT STAGE - Developed at the Event" - a Project whose actual implementation began before the Hackathon and is further developed during the Hackathon. For a Project classified in the "NEXT STAGE - Developed at the Event" category, the Team shall indicate: the status of the Project before the Hackathon, elements of the Project that existed previously, and functionalities, solutions, prototypes or other results created or developed during the Hackathon.
3. Teams shall independently classify the Project into the appropriate category referred to in Clause 80 of these Terms and Conditions by entering it on the Team list, which shall also contain the full Team composition. The Main Organizer shall make this list available during the Event via the Platform. The Project category may be changed no later than the closing of Project submissions for the final on Sunday, 13 September 2026. After this deadline, the selected category shall be final and may not be changed.
4. The Team shall be responsible for ensuring that the category selected under Clause 80 of these Terms and Conditions corresponds to the actual facts. In this respect, the Main Organizer relies on the principle of trust in Participants and on their fair assessment of the level of advancement of the Project before the start of the Hackathon. In case of doubt regarding the choice of category, the Team may consult the Main Organizer and Mentors available during the Hackathon.

D6. Copyright, Safety, Ethics and Team Disqualification

1. All intellectual property rights, as well as economic and moral copyrights in the Projects, shall remain the exclusive property of their creators (Participants or Teams). The Main Organizer does not acquire copyrights in Projects developed by the Teams.
2. Within the Event, it is prohibited to create solutions that violate security standards or deliberately exploit vulnerabilities in ICT systems or software. All Projects must comply with applicable law and generally accepted ethical standards.
3. Within the Event, it is prohibited to create Projects containing unlawful, vulgar, generally offensive or socially unacceptable content. The prohibition applies in particular to disgusting or pornographic materials, materials inciting hatred or discrimination, depicting graphic violence, or promoting the use of intoxicating substances or narcotics.
4. The Main Organizer is entitled to disqualify a Participant or an entire Team from the Hackathon if any provision of these Terms and Conditions is found to have been breached.
5. Disqualification of a Team or Participant shall result in the immediate loss of the right to further participate in the Hackathon, blocking of access to the Platform and loss of the right to compete for any prizes provided for as part of the Event. The Main Organizer's decision on disqualification shall be final and not subject to appeal.

D7. Other Persons Involved in the Event

Role of Mentors and Trainers

1. Mentors are experts specializing in fields related to the subject matter and objectives of the Hackathon. The role of Mentors is to provide substantive support to Participants, give advice, guide the development of Projects in appropriate directions and answer Teams' questions. Work with Mentors is intended to optimize the solutions being developed and to maximize the potential of each Team's work.
2. Trainers are persons responsible exclusively for conducting Workshops as part of the Event. Trainers do not directly participate in individual consultations with Teams or in the subsequent Project evaluation process.
3. Consultations with Mentors shall be conducted in a hybrid format: on-site at the Event venue and remotely via the Platform.
4. The Hackathon schedule specifies dedicated hours during which Teams shall take part in mentoring consultations. Outside the hours specified in the schedule, Teams may seek additional assistance from Mentors throughout the Hackathon, subject to the current availability of the relevant Mentor.

Jury: Project Evaluation and Prizes

1. The jury evaluating the Projects shall include representatives of the Organizers (i.e. the Main Organizer and/or the Co-organizers) and the Partners of the Event. Before the final presentations begin, the members of the jury shall elect a chairperson from among themselves.
2. The jury's decisions concerning the selection of winners shall be made by internal vote and by a simple majority of votes. In the event of an equal number of votes (a tie), the vote of the chairperson of the jury shall be decisive and binding.
3. Only Projects consistent with the objectives of the Event referred to in Clause 50 of these Terms and Conditions, which were created or developed during the Event in accordance with the declared category, shall be evaluated. Projects which, in whole or in part, were used for commercial purposes before the start of the Event are categorically excluded from evaluation.
4. The jury shall select the winners from among properly submitted Projects, evaluating and awarding Participants in two separate categories in accordance with the Teams' prior declarations: "FROM SCRATCH - Started at the Event" and "NEXT STAGE - Developed at the Event". The results shall be announced and prizes awarded during the Hackathon final.
5. For Projects submitted in the "NEXT STAGE - Developed at the Event" category, the jury shall primarily evaluate the scope and quality of the work carried out during the Hackathon, in particular new functionalities, solutions, prototypes, experiments and other results created or developed during the Hackathon. The level of advancement achieved by the Project before the Hackathon shall not constitute grounds for a higher score.
6. Projects shall be evaluated by the jury on the basis of substantive evaluation criteria, including in particular innovation/novelty, technical quality and correctness, use of knowledge from the relevant field, feasibility of the solution and compliance with the challenge. Detailed evaluation criteria, the scoring method and the weights assigned to individual criteria shall be presented to Participants no later than before work begins on the day of the Hackathon.
7. A condition for a Project to be admitted for evaluation by the jury is its presentation during the final presentation session, with a maximum presentation time of 3 minutes.
8. The Organizers (the Main Organizer and/or the Co-organizers) reserve the right to grant additional distinctions to Projects, independently of the official main prizes referred to in Clause 95 of these Terms and Conditions, which are awarded by the jury in the respective categories.

Cash prizes with a total gross pool of PLN 10,000 shall be awarded as part of the Hackathon and financed from the Main Organizer's own funds.

1. Prizes shall be paid into the bank accounts of Participants who are members of the winning Teams. The prize assigned to a given Team shall be divided arithmetically into equal shares among all members of that Team.
2. Prizes shall be subject to taxation in accordance with Article 30(1)(2) of the Act of 26 July 1991 on Personal Income Tax (consolidated text: Journal of Laws of 2026, item 592, as amended). Pursuant to Article 21(1)(68) of that Act, the portion of the prize allocated to one Participant after the division referred to in Clause 102 of these Terms and Conditions, not exceeding PLN 2,000, shall be exempt from income tax.
3. If the amount allocated to one Participant after the arithmetic division exceeds PLN 2,000, the Main Organizer - acting as the tax remitter - shall deduct a 10% lump-sum income tax from the portion of the prize due to that Participant and pay it to the competent tax office (the Participant shall therefore receive a net amount reduced by the amount of that tax).
4. Information on the date of payment of the prizes referred to in Clause 102 of these Terms and Conditions shall be provided separately to the Participants of the winning Teams at the e-mail address indicated in the Application.
5. A Participant of a winning Team may not transfer the right to a prize to third parties.

A. About the Workshops

1. The Main Organizer is entitled to specify minimum requirements for individual Workshops, as well as to conduct a skills and/or aptitude test for Participants and accept only those Applications that achieve a positive result. The Main Organizer shall provide information on the minimum requirements and the format of the skills and/or aptitude test in the description of the relevant Workshops on the Website.
2. Workshop Participants shall be subject to these Terms and Conditions and to the Workshop Terms and Conditions constituting Appendix No. 1 hereto, published on the Website no later than on the date on which registration for the Workshops opens.

B. Cancellation or Rescheduling of Workshops by the Organizer

1. The Main Organizer reserves the right to cancel Workshops if the number of Participants is lower than the minimum number of Participants specified in the description of the relevant Workshops on the Website.
2. The Main Organizer undertakes to notify Participants individually of a decision to cancel Workshops due to failure to reach the minimum number of Participants no later than 3 calendar days before the planned start date of the Workshops, by sending an e-mail to the address indicated in the Application.

C. Equipment and Software

1. During the Workshops, Participants shall use their own computers (laptops). The Main Organizer and the Co-organizers do not provide Participants with computers (laptops) or licenses for commercial software required to participate in the Workshops. The provision of appropriate equipment and required software is the sole responsibility of the Participant.
2. By submitting the Application, the Applicant declares that they are familiar with operating their computer (laptop) to the extent of freely navigating disk storage, installing software and modifying application permissions relating to Internet access.
3. In the event of problems resulting from defective equipment owned by the Participant or the lack of the equipment operating skills specified in Clause 112 of these Terms and Conditions, the Participant shall resolve the difficulties independently. If the problem prevents the Participant from continuing to participate in the Workshops, the Participant may withdraw from the Workshops in accordance with the rules set out in the Workshop Terms and Conditions constituting Appendix No. 1 hereto.

D. Participant Obligations

1. A Workshop Participant undertakes to prepare their computer (laptop) before the start of the Workshops in accordance with the recommendations of the Main Organizer indicated in the message referred to in Clause 33 of these Terms and Conditions.
2. Recording the course of the Workshops using devices recording sound or both image and sound, as well as disseminating their content, shall be permitted only with the Main Organizer's prior written consent.
3. Materials made available to Participants for the purposes of the Workshops by the Main Organizer or the Trainer constitute the intellectual property of their creators and are protected by copyright. The materials referred to in the preceding sentence are intended exclusively for the Participant's personal educational use. The Participant is not entitled to make them available publicly or privately to third parties (except for Participants of the relevant Workshops), publish them on the Internet, reproduce them, or use them for commercial purposes without the prior written consent of the Main Organizer or the Trainer.

A. Data Controller

The controller of personal data is the Main Organizer, Fundacja CODE:ME with its registered office in Gdańsk, al. Wojska Polskiego 41, 80-268.

1. Personal data shall be processed for the purpose of concluding and performing the Agreement for participation in the Event (pursuant to Article 6(1)(b) of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation), hereinafter referred to as the "GDPR"), for compliance with legal and tax obligations (Article 6(1)(c) GDPR), and for the purposes of the legitimate interests pursued by the Controller, such as the establishment or pursuit of claims or direct marketing (Article 6(1)(f) GDPR).
2. The Controller informs that, for the purposes of Participant Registration and the distribution of tickets for the Event, it uses the Evenea online service available at https://evenea.pl/.
3. The recipient of personal data acting as a processor pursuant to a data processing agreement concluded in accordance with Article 28 GDPR is EventLabs Sp. z o.o. with its registered office in Gdynia, 81-521, Al. Zwycięstwa 241/13, entered in the National Court Register by the District Court Gdańsk-North in Gdańsk, 8th Commercial Division of the National Court Register, under KRS No. 0000323662, NIP 5213529520 (hereinafter referred to as "EventLabs Sp. z o.o."), contact details: EventLabs Sp. z o.o., Al. Zwycięstwa 241/13, 81-521 Gdynia, telephone: 530-982-290, e-mail: info@evenea.pl. 4. The Participant has the right to access their personal data, rectify or erase it, restrict its processing, obtain data portability, object to processing, and lodge a complaint with the President of the Personal Data Protection Office.
5. Providing personal data is voluntary, but necessary in order to participate in the Event and, in the case of paid Activities, to purchase a ticket.

B. Declarations of the Applicant

By providing personal data in the Application, the Applicant declares that:

1. the data are accurate and reflect the actual state of affairs;
2. in the event of any change to the personal data, the Applicant undertakes to notify the Main Organizer within 7 calendar days of the change;
3. the Applicant acknowledges that their personal data will be processed by the Main Organizer and EventLabs Sp. z o.o. (as processor) in accordance with the information clause set out in Clauses 117-123 of these Terms and Conditions.

C. Recording of the Event

1. The Main Organizer, the Co-organizers and the Partners of the Event (indicated on the Website) are entitled to record and disseminate the course of the Event using devices recording image and sound for documentation purposes and for the promotion and advertising of the Event. Accordingly, Participants' images may be recorded without remuneration and subsequently disseminated, in the manner and for the purposes specified above, for as long as the promotional materials (including photo galleries and video coverage) remain publicly available on the websites and social media profiles of the indicated entities. Processing of a Participant's image is based on the legitimate interests of the indicated entities (Article 6(1)(f) GDPR), and the Participant has the right to object to such processing.
2. No permission is required to disseminate the image of a person who constitutes only a detail of a larger whole such as a gathering, landscape or public event.

A. Application of the Terms and Conditions to Third Parties

1. In the case referred to in Clause 44 of these Terms and Conditions, i.e. where the Participant's Application was submitted by a third party (e.g. an employer or a company ordering a B2B ticket), the third party shall provide the Participant with the full content of these Terms and Conditions and shall require the Participant to comply with their provisions.
2. In the case referred to in Clause 127 of these Terms and Conditions, the Participant accepts the provisions of these Terms and Conditions upon commencing participation in the Event, in particular by presenting the ticket and collecting the badge.

B. These Terms and Conditions

1. These Terms and Conditions, including any amendments thereto, shall apply from the moment they are posted on the Website.
2. The Main Organizer shall inform Participants of each amendment to these Terms and Conditions by e-mail sent to the address provided in the Application. The new wording of these Terms and Conditions shall become binding on the Participant if, within 7 calendar days from receipt of such information, the Participant does not object by sending an e-mail to the Main Organizer at kontakt@codeme.pl. Submission of an objection shall be deemed equivalent to withdrawal from participation in the Event.
3. In matters not regulated by these Terms and Conditions, the provisions of the Civil Code shall apply. Any disputes shall be resolved amicably. If no agreement can be reached, disputes shall be resolved by the common court having subject-matter and territorial jurisdiction in accordance with the provisions of the Civil Code.
